Venue

ESERA 2025 is spread over multiple venues see overview of all in the below floorplan. Volunteers will be onsite on all venue and able to guide to the specific session. 

Øksnehallen is the main venue, but all parallelle sessions is spread across all venues.

Session locations

The virtual detailed programme will show the name of session room, so that you can locate it on the floorplan above. Please note that the programme will not be printed. 

WiFi 

Coffee and Lunch

Coffee breaks and vegetarian lunch are included and is served in Øksnehallen.

Lunch is served over a 2-hour period during parallel sessions. To avoid queues, please eat early if not attending a session. The first hour is a silent lunch, as sessions are ongoing.

Special dietary meals: If requested, you will receive an email with pickup instructions.

Water & Coffee is available in Øksnehallen. Tap water in Denmark is very clean and safe to drink.

Getting around and to venue

Øksnehallen is centrally located, just a 5-minute walk from Copenhagen Central Station, making it very easy to reach from anywhere in the city or from the airport.

From the Airport

There are frequent direct trains from Copenhagen Airport (CPH) to Central Station, with a journey time of approx. 13 minutes. Once you arrive at the station, it’s a short walk to the venue.

Getting Around the City

Copenhagen is compact, safe, and easy to navigate. You’ll find:

  • Efficient public transportation (metro, trains, buses) with departures every few minutes
  • Extensive cycling infrastructure, including dedicated bike lanes across the city.
  • Walkable distances between most attractions, hotels, and restaurants

To plan your route, we recommend using: Rejseplanen (Journey Planner), Citymapper, Google Maps. Remember that public transport requires a valid ticket, and checks are frequent.

Bikes and Payment Tips

Copenhagen is one of the world’s most bike-friendly cities – consider renting a bike for a truly local experience.

Also, note that Copenhagen is largely cashless. Most shops, restaurants, and ticket machines accept credit/debit cards and mobile payments (Apple Pay, Google Pay, etc.), while cash may not be accepted in many places. 

Travel Pass – Save up to 80%

As an ESERA 2025 attendee, you can purchase Copenhagen’s official Travel Pass at a discounted rate and save up to 80% on public transport, including travel to and from the airport.

We recommend buying your pass before your trip.

After purchase, you can download the ticket directly from the confirmation page. To avoid issues with email delivery, please use a private email address instead of your work email when ordering. If you don’t receive your ticket by email, contact DOT customer service at +45 7015 7000 (press 2). They are available daily from 07:00 to 20:00.

Please note: We do not have access to DOT’s system. All inquiries about the Travel Pass must go through DOT.

Virtual Programme & Engagement

Our virtual programme is now live! Access it through the Programme section on our website.

Please use the bookmarking feature to mark sessions you plan to attend – this helps us assign sessions to appropriately sized rooms and ensures the best experience for everyone.

Session Padlets: Each session now has an interactive padlet to support dialogue and engagement. We envision many possible uses: presenters can ask for input or upload content to share, participants can provide feedback, session chairs might use them to summarise discussions, or people in the same session might coordinate together – whatever works best for each session.

For Interactive Poster presenters: You can now optionally upload your poster to the virtual poster gallery. This allows conference participants to view posters online as part of the virtual programme.

  • Note: You must still present your physical poster during your scheduled Interactive Poster session
  • Upload deadline: August 24th (the day before the conference starts)
  • To upload: Visit your submission dashboard and upload the poster or check the box “I don’t want my poster in the poster gallery” if you prefer not to participate.

Presenter Guidelines & Support

Audio-Visual Equipment & Presentation Setup: Just bring your laptop and connect directly to our projectors – it’s that simple 🙂

What you need

  • Your laptop – present directly from your device with all your files at hand
  • HDMI adapter (if your laptop needs one) – backup available: we have spare HDMI adapters at the venue 
  • Arrive a few minutes early to connect and test – our volunteers are always nearby to help

Pre-Conference Events

Sunday, August 24th – SIG Workshops: Several SIGs are hosting pre-conference workshops, and you are invited to join! Some require registration:

Monday Morning, August 25th – Before our opening ceremony:

  • Editors’ Roundtable (11:00-12:30) – Learn about journal scopes and submission expectations (no registration required)
  • Welcome to ESERA Mentor Session – Perfect for first-time attendees and early-career researchers. Sign up here.
  • Morning workshops on quantitative ethnography and scenario-building board games (no registration required)

Social events

Welcome Reception

Monday 25 August, 18:30–20:00 at Øksnehallen. Free of charge – registration required

Join us for a relaxed start to the week with drinks and light snacks.
A great chance to connect with fellow participants in an informal setting.

Social Dinner (Few tickets left)

Thursday 28 August, 19:30–23:59 at Øksnehallen. A social dinner ticket can be purchased for DKK 485 incl. VAT (~€65).

Enjoy a vibrant evening with street food, music, and dancing.
Held at the conference venue – tickets can be purchased through the registration.

Wednesday tours

If you have signed up for any of the tours Wednesday after the conference, you will receive separate information by email. 

Your name badge and access

A few days before the conference, you will receive a QR code that allows you to print your name badge onsite upon arrival at Øksnehallen.

You can print your name badge during the registration opening hours listed below.
Please note: Security guards will be present at the venue, and wearing your name badge at all times during the conference is mandatory.

Important: You will not be able to print your name badge if:

  • You have not yet activated your ESERA membership, or
  • you have an unpaid order associated with your registration.

Sustainability Reminders

In line with our conference theme and sustainability manifesto:

  • We encourage you to bring your own reusable water bottle and thermo cups. We will also have recyclable cups on site for you to use and return at the venue
  • Consider sustainable travel options
  • Use our travel together chat in the virtual programme to coordinate and share transportation
  • The name badges are biodegradable. We encourage you to hand in your lanyard at the registration area at the end of the conference, for recycling.
