Technical submission guidelines update
Dear ESERA 2025 participants,
Following our initial technical review of early submissions, we would like to provide some important guidance to help ensure your proposals meet the technical criteria for the peer-review process. We’ve identified several common issues that could lead to technical rejection if not addressed.
Key points for successful submission:
Anonymisation
- Remove all identifying information from the extended summary
- Anonymise self-citations and references to host institutions
- Note: Mentioning a country or province alone is acceptable
- Be careful with embedded tables/figures that might contain identifying information
References
- Include a complete reference list for ALL citations in the text
- Ensure all in-text citations appear in the reference list
- Alphabetise references according to APA7 style
- “Selected References” are not accepted – include all cited works
- Do not omit the reference list even if you have only a few citations
Tables and figures
- Insert tables as proper text tables, not as images
- Only use images for actual figures/diagrams
- Do not use figures to circumvent text limits
- Ensure all figures are properly formatted and visible
Language and formatting
- Submissions must be in English
- Follow the provided word limits
- For workshops and exploratory seminars: Submit the timetable using the provided template
Submission type
- Carefully consider whether your submission best fits your chosen format
- Make sure you have chosen the right format in our template
- Review the criteria for each format before submitting
Common mistakes to avoid:
- Submitting tables as images to circumvent word limits
- Using images to present text content
- Omitting reference lists
- Citing own work without anonymising it
If you submitted for the early technical check (December 15 deadline), you will receive specific feedback about any technical issues. For all other submissions, please use this guidance to ensure your proposal meets all technical criteria before the final January 31 deadline.

Submissions now open
The submissions platform for the ESERA 2025 Conference is officially open! We’ve made what we believe are meaningful changes to expand the range of formats and streamline your submission experience:
- New and adjusted formats: We’re introducing a new format: Exploratory Seminars that aim to open dialogues about research possibilities, innovative research areas, and creative research ideas. Also, we have made slight adjustments to the other formats.
- Distinct evaluation criteria: Thus, you can expect slight variations in how each format will be evaluated.
- New web-form submission: We’re using the web-submission form of Oxford Abstract, which replaces the traditional 3-page abstract. You can still use tables, insert figures, etc.

What We’re Working On Right Now
There’s a lot happening behind the scenes as we prepare for ESERA 2025! Right now, we’re focused on:
- Finalizing conference pricing to ensure it’s as accessible as possible.
- Finding affordable accommodation options for participants.
- Implementing sustainability initiatives to be in line with our Sustainability Manifesto.
- Organizing the ESERA 2025 Prelude, a new initative 21-24 August where you can get hands-on experience with Danish science eduation initiatives.
- Recruiting volunteers to assist during the conference. Contact us, if you want to join as a volunteer.
- Working with the ESERA board to find and recruit key-note speakers

Strand Chairs for ESERA 2025
We’re happy to share that we now have strand chairs for the 20 conference strands. We look forward to working with them to put together an exciting and high-quality scientific programme for ESERA 2025.
We also can’t wait to celebrate both the strand chairs and our reviewers at a special reception during the conference—it’s our way of showing appreciation for all the hard work that makes this event possible.

Venue In the Centre of Copenhagen
The ESERA 2025 Conference venue, Øksnehallen, is an 8-10 minute walk from Copenhagen Central Station. You can find walking directions here https://maps.app.goo.gl/ZakDkiRSacpU7e5t5
Being close to the Central Station means you’ll have quick access to public transport, nearby hotels, and plenty of places to grab a bite or explore.
Øksnehallen is a large former cattle market hall refitted to an exhibition space. We will use this space and the adjacent DGI Byen Conference Center to host parallel sessions, plenaries, common areas, and stalls among other things.
