To participate in ESERA2025, you have to be an active ESERA member 2025

All registration fees are including 25% Danish VAT
*Discount codes will be sent by ESERA to all ESERA 2024 active members, when the registration opens. (Please, also check your JUNK or SPAM folder, or contact info@esera.org in case you run into problems related to the discount code)

Entitlements
Terms and conditions
ESERA Membership
An active ESERA membership for 2025 is required to attend the conference. The membership ID provided during registration will be verified.
Registrations will only be considered valid once:
- The ESERA 2025 membership has been confirmed as active, and
- Payment of the registration fee has been received in full.
If your membership is inactive or requires action, we will notify you via email. If no notification is received, consider your registration valid.
Payment terms
Registration fees will be charged in Danish Kroner (DKK). The conference fee is exempt from VAT.
Payment is possible by invoice (bank transfer), credit card (VISA and Mastercard) and EAN invoice (only Danish institutions). For payment via EAN invoice a handling fee of 50 DKK will be added.
Upon completion of the registration, an automated e-mail confirmation will be sent. Depending on the method of payment, the invoice and/or credit card receipt will be attached. The PDF is original and will be the only copy you will receive.
Payment is due within 7 days from the invoice date. It is your responsibility to forward the invoice to the correct place for payment and you must make sure that the correct invoice address is entered during the registration process. Please ensure that the payment clearly states invoice number, as we will not be able to place the payment without this information.
Cancellation terms
Cancellations must be notified in writing to the ESERA 2025 Conference Organiser at registration@cap-partner.eu.
Cancellations dated before and on June 24th, 2025 will be refunded deducting an administration fee of 250 DKK. From June 25th, 2025 registration fees are non-refundable.
Refunds will be processed after the conference. No refunds will be granted in case of no-show. If the conference is cancelled, for reasons beyond the control of the organizers, the registration fee will be refunded after deduction of expenses incurred by the conference.
Social events and tours
We reserve the right to cancel a social event or tour if the minimum number of participants is not met. In such cases, participants will be notified, and any associated fees paid for the canceled event or tour will be fully refunded.
Refunds will not apply for cancellations made by participants after the event’s specified deadline for changes or cancellations.
Photo and video
Please note that video and photos may be captured during the conference for use in e.g. newsletters, websites, interviews and social media. If you identify yourself in a specific picture or video after the conference and you do not wish it to appear on the website or social media, please get in touch with us (Registration@cap-partner.eu).
